Learn how Bevery Hills High School alleviated the stressful and time-consuming process for alumni transcript requests using Parchment’s Records Digitization services.
School districts across the country are required to keep and preserve academic records for their alumni and this presents a challenge — older records decay, are susceptible to natural disasters and are hard to access in disorganized filing cabinets. Beverly Hills High School was no different with an outdated, paper-based records system..
“The quality of our older records was steadily declining,and we were slow in responding to alumni requests. These records are important for education and employment, so I wanted a better approach”, said Maria Bennett, Registrar.
“The change has been phenomenal. I am turning around requests so quickly. I have a smoother-run office, and I’m providing great customer service. I don’t have to run down to storage anymore —everything is at my fingertips.”

Before launching Parchment’s Records Digitization service, Beverly Hills High School sent the majority of transcripts and verifications digitally through Parchment’s District Record Services platform. Previously, fulfilling older records requests was a manual process because the records had to be scanned from a paper copy to create the digital version. This process was slow, cumbersome, and was particularly difficult during COVID when access to the office was limited. “I envisioned an office where we were paperless”, Maria said. “I thought we could save on both time and money, while providing better customer service to our alumni.”The goal for Beverly Hills High School was to create a digital repository for all their records, so whether it was a student request for a transcriptor a verification request from a third party, it could be processed efficiently.
The results of digitizing legacy records through Parchment have been nothing short of incredible. The Registrar’s office operates like a well-oiled machine while providing excellent customer service to students and alumni. All record requests flow through Parchment, with the ability to fulfill them with a few clicks of a button. “The change has been phenomenal. I am turning around requests so quickly”, Maria said. “I have a smoother-run office, and I’m providing great customer service. I don’t have to run down to storage anymore, and everything is at my fingertips. Digitizing our records has freed up 75% of my time, which gives me the freedom to prioritize other tasks.”
